Bond Williams are currently recruiting for an experienced Legal Secretary. The Legal Secretary with ideally have previous experience in the Family law department. Responsibilities/ Duties: of the Legal Secretary
Works with the department and HoD to set own objectives providing alignment with the firm’s overall strategic objectives.
Types and collates correspondence and other documents from audio/digital dictation, amending and formatting documents quickly and accurately.
Takes and passes on messages promptly to the appropriate fee earner.
Informs the client of progress on their matter as the fee earner directs.
Carries out general administration for the department such as sorting incoming and outgoing post and DX, file opening and archiving, and maintains an accurate, effective and up to date filing system.
Renders bills as directed by the fee earner together with summary breakdowns as to time spent and appropriate covering letters.
Chases aged debt to the firm on a monthly basis as directed by the fee earner, following the Credit Control Procedure in the Office Manual where necessary.
Ensures payments to third parties (disbursements) are paid in a timely manner and where necessary, chases for monies to disburse the same.
Assists fee earner in meeting all Lexcel and SRA requirements.
Diarises key dates in central department diary, fee earner task list, and fee earner personal diary and updates these when necessary.
Maintains the fee earners diary, arranging appointments as necessary.
Assists fee earner with time and case management.
Acts in a professional and courteous manner when dealing with clients, potential clients, and third parties; always projecting a professional image of the Firm.
Prioritises and manages own workload to deliver and effective service, ensuring fee earner is kept informed of issues, delay or planned absence.
Works as part of a team to ensure that effective secretarial cover is maintained, allocating responsibility for incoming correspondence, emails and telephone calls when colleagues are absent.
Works collaboratively to achieve own and department’s financial KPIs and objectives.
Acts at all times in accordance with lxdegal, regulatory and internal risk management requirements, and the Firm’s office manual.
Promotes the services of the Firm, and its image and ethos.
Provides secretarial and administrative support to other departments as required from time to time.
